Job Title: Project Administrator - Manchester

Description

To work in conjunction with the site management team and head office management to provide a seamless administration service for all projects. The role will involve fulfilling administration tasks for several areas of the business.

Duties and Responsibilities

Customer Focus

  • Liaise daily with colleagues and subcontractors; developing transparent and trusted partnerships

  • Prioritising workload effectively to meet expectations

  • Assist colleagues on site to perform basic administrative functions quickly and efficiently

  • Be accountable for ensuring sufficient feedback is provided to the project team for any problems highlighted

Quality Focus

  • Maintain an eye for detail, ensuring work is completed to the highest standards

  • Remain focused on continually improving the quality of work delivered and make recommendations to improve the effectiveness of systems and processes

  • Take ownership for data integrity, ensuring a high degree of accuracy when completing all tasks

  • Adherence to the data protection regulations

General Duties

  • Responsible for controlling & monitoring of all site visitors

  • Responsible for uploading new starter details onto the inhouse database.

  • Responsible for providing access to site for new starters/subcontractors via M-SITE

  • Assist with Document Control support

  • Coordinate and manage meeting rooms including organisation and housekeeping

  • Support where necessary during meetings, taking minutes and distributing as required

  • Support site management with diary management and organisation as required

  • Responsible for maintaining filing systems, archive management, site holiday chart, organograms etc

  • Work closely with the Site Management and Health and Safety Manager to gather data for feedback in line with Accident Frequency Rates (AFR), reporting back to the Health and Safety Manager on a weekly basis

  • Responsible for collating staff movements on a weekly basis and providing accurate information the HR department

  • Responsible for procurement of items for site including stationery, kitchen and janitorial supplies

  • Contributing to the on-going development of business processes and procedures

  • Manages own time effectively, avoiding distractions and focusing on priorities

  • Undertakes on the job training with new administrators

  • All other related administrative duties

Knowledge, Skills and Abilities

Essential

  • Experience of working in the construction industry

  • Good understanding of computer software and office packages (Word/Excel/Powerpoint etc)

  • Good communication skills written and oral

  • Good attention to detail with a high level of accuracy

  • Great team player - enjoys working as part of a team to achieve common goals

  • Able to cope under pressure in an environment that is subject to continuous change

  • Ability to handle information with the appropriate level of confidentiality and sensitivity.

  • Ability to manage change and adapt to new procedures

  • Courteous and professional at all times

  • Reliable, trustworthy and acts with integrity

  • Ability to follow directions competently

  • Conduct, personal appearance and attitude reflect a positive image for the Company

Desirable

  • Experience of using M-Site access system

  • Experience of using a document management system
